All Professional LLC, doing business as Automated Shop Solutions ("we," "us," or "our"), operates the Automated Intake Chrome extension and related services (the "Service"). This Privacy Policy describes what information the Service collects, how it is used, how it is stored and protected, and the choices available to the shops and users who use it.
In this policy, "you" or "the shop" refers to the auto repair business that uses the Service. "Customer data" refers to information about the shop's own customers and vehicles that is processed through the Service.
Audio data. When an advisor or technician uses the recording feature, audio is captured by the browser's microphone and streamed in real time to our transcription provider for immediate conversion to text. Audio is not stored on our servers or in any persistent storage, and is discarded immediately after it is transcribed. We do not keep audio recordings.
Transcribed and structured repair-order data. The text produced from a recording — customer concerns, repair-order notes, technician findings, and service recommendations — is stored by the Service, associated with the corresponding Tekmetric repair order. This is necessary for core functionality: it allows the data to survive a page refresh, sync across the devices in your shop, and stay attached to the correct repair order. This text may include personally identifiable information (such as a customer's name, phone number, or vehicle identifiers) when that information is spoken during a recorded conversation.
Account and authentication data. When a shop signs in, we use Sign in with Google and receive basic profile information (name and email address) to identify the account. We do not receive or store your password.
Device and licensing data. To enforce subscription terms and prevent abuse, we register the devices that access the Service and store a device identifier and license status for each.
Usage and billing data. We log service activity — such as the number and timing of AI processing requests, token usage, and associated cost — for billing, abuse prevention, and reliability monitoring.
Contact information. If you contact us through our support form or by email, we collect your name, email address, and message content to respond to your inquiry.
We do not sell your data or your customers' data. We do not use customer data for advertising.
The shop retains full ownership of its customer data and repair-order data processed through the Service. We act solely as a data processor: we process this data only to provide the Service, and we claim no ownership of it. Where a shop requires a formal Data Processing Agreement (DPA) defining these roles, we are prepared to enter into one.
We design the Service to limit the data we hold and to protect what we store.
No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
To deliver the Service, we rely on a small set of trusted third-party providers, each used only for its specific function and bound by its own security and contractual terms. In general, these providers help us transcribe audio into text, structure that text into repair-order content using AI, host our application and database, handle secure sign-in, process subscription billing, and send service emails. Our transcription and AI providers do not use data submitted through their services to train their models. Payment processing is handled by a PCI-DSS-compliant provider, and we never store full payment card numbers. We do not sell your data to anyone. We also use a public U.S. government data source for VIN decoding and safety-recall lookups; no customer data is sent to it.
Tekmetric. The Service operates within the Tekmetric interface to populate repair-order fields. We do not access or store your Tekmetric login credentials.
If your use of the Service ends, you may request a complete export of your data in a standard format. After confirmation, we will permanently delete your customer data from our active systems within 30 days. Our infrastructure providers may retain encrypted backups on a rolling basis for disaster recovery; deleted data is fully purged once those backups cycle out under the provider's standard backup retention window. Upon request, we can provide written confirmation that a deletion has been completed.

The Service is intended for use by auto repair businesses and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
We may update this Privacy Policy from time to time. We will notify users of any material changes by posting the updated policy on this page with a revised "Last updated" date.
